The Role 

The Administration Assistant is responsible for maintaining key data, supporting forecasting and reporting, and assisting with customer and internal coordination. This role plays a crucial part in ensuring accurate information flow and smooth delivery across sales, procurement, and operational processes. The ideal candidate will be detail‑oriented, analytical, and confident communicating at all levels.

Key Responsibilities

  • CBoM maintenance
  • Quotation compilation
  • Contract review and forecast management (in conjunction with SCO)
  • Maintain business forecasts.
  • Consignment material analysis and payment reviews
  • Internal and external reporting (e.g., project status, stock, sales, forecasting, waterfall charts)
  • Prepare Customer Service Reports
  • Attend customer visits and document discussion.
  • Data analysis and reporting to identify variances to KPI’s
  • Monitoring OTD/OTR and liaising with Commercial Team
  • Taking meeting notes
  • Supporting all aspects of the sales, procurement & delivery process
  • Perform other duties as assigned at the discretion of Management

Skills & Experience

  • Experience in a service or office environment
  • Strong judgment and problem‑solving skills
  • High level of attention to detail
  • Ability to process and manage high volumes of data
  • Proficient MS Office skills
  • Strong verbal and written communication abilities
  • Ability to communicate effectively at all levels
  • Self‑motivated with a strong desire to succeed
  • Experience or knowledge of contract manufacturing (desirable)
  • Excellent presentation skills (desirable)
  • Working knowledge of ISO9001:2015 (desirable)

Qualifications 

  • Good general education
  • GCSE or equivalent in English
  • Relevant qualification or experience in contract manufacturing (desirable)
