The Role
The Shipping Officer is responsible for overseeing and coordinating all shipping, logistics, and customs-related operations to ensure timely and compliant import and export activities. This position plays a crucial role in supporting the supply chain by maintaining full compliance with customs regulations, optimizing logistics performance, and ensuring on-time delivery to customers.
The ideal candidate will have solid experience in LMW operations, shipping documentation, and customs procedures, with strong coordination and analytical skills to handle multiple stakeholders efficiently.
Key Responsibilities
Shipping Operations
- Oversee all shipping and customs-related activities, ensuring smooth import and export processes.
- Coordinate with internal departments and external parties for all inbound and outbound shipments (materials, spare parts, equipment, etc.).
- Ensure proper documentation and administration of all shipping procedures for import and export.
- Work closely with cross-functional teams to ensure compliance with import/export control laws.
- Advise buyers and shippers on the designated freight forwarders according to company routing guidelines.
- Engage designated forwarders for shipment execution via air, sea, or land transportation.
- Validate inbound invoices and verify export shipment billing.
- Ensure on-time and accurate delivery to customers.
- Evaluate and monitor outsourced transporters, freight forwarders, and 3PL service providers.
- Review and audit import/export documentation to ensure timely, accurate, and complete declarations.
- Coordinate with the shipping team to determine if special permits or licenses (MITI/DOE/Poison Regulation) are required.
- Recommend improvements to import/export procedures for better efficiency, compliance, and cost savings.
- Handle communication and negotiations with external suppliers and partners.
- Ensure all standard operating procedures are followed and updated as per operational needs.
- Perform other tasks assigned by the Section Head or Supply Chain Manager.
Customs Management
- Manage LMW documentation, Manufacturing License, Exemption List, Subcontract renewal, MITI, and other customs-related activities.
- Prepare and submit monthly customs reports (M1, M2, M4, Lampiran K, and Subcon reports).
- Handle and resolve customs inquiries and ensure full compliance with customs regulations.
- Serve as a certified personnel for Dangerous Goods or Poison License handling.
- Manage applications for GSP (Generalized System of Preferences) and environmental department declarations (e.g., scheduled waste).
Skills & Experience
- Minimum 5 years of experience in shipping, logistics, or customs management, preferably in an LMW or Free Trade Zone environment.
- Strong knowledge of import/export procedures, customs regulations, and MITI applications.
- Familiar with ERP systems such as BaaN, SAP, or InforLN.
- Excellent communication, problem-solving, and analytical skills.
- Self-motivated, detail-oriented, and able to work independently under minimal supervision.
- Experience in leading and improving team efficiency.
Qualifications
- Diploma or Degree in Business, Logistics, or Shipping Management (or related field).
- Proficient in English (spoken and written).
- Dangerous Goods/Poison License certification is an added advantage.
